About Us

Disability Action Yorkshire is a charity that aims to facilitate solutions for disabled people whatever their aspiration.

We are committed to:

Keeping the data of everyone that has contact with us safe,

Telling you what information we will collect

Telling you how we will use it.

This page, as well as our terms of use and cookies policy, explains how we use and protect your data.

For the purposes of the data protection legislation Disability Action Yorkshire is the Data Controller (i.e. the company who is responsible for and controls the processing of your personal data)

What data we collect and how we use it

The type and amount of data we collect and use depends on why you have provided it to us.

We will only collect, use and otherwise handle your personal data:

Supporters and donors

If you support us, for example by signing up to an event, making a donation or signing up to Gift Aid, we will usually collect your name, contact details, and whether you would like to be contacted in the future.  If appropriate, we may also ask for your date of birth, financial details, and Gift Aid eligibility.

We collect this data so that we can keep you up to date, to run our events and to fulfil our legal responsibilities for financial and Gift Aid reporting.

We will only keep your data for as long as necessary. If you have donated to us we are required to keep this data for seven years.  If you have not donated to us we will only keep your data for three years.

Volunteers

If you volunteer with us, or enquire about our volunteering opportunities, we will usually collect your name, contact details, gender, availability to volunteer, any impairments that you need to tell us about in relation to your volunteering, availability to volunteer and any criminal convictions.  We may need to collect your bank details if you are claiming reasonable expenses.

We collect this data so that we can contact you about volunteering opportunities, so that we can ensure the safety of volunteers, customers and staff and can pay expenses.

We will keep this data for two years after you stop volunteering for us.

Storytellers

Some disabled people share their stories and experiences with us on the website.  We will record details of the story as well as the contact details of the person in case we need to contact them to get updated approval to use their story.  We would normally anonymise the story so you cannot be identified.

We will keep this data for three years after you give it to us, and will contact you each time we wish to use it if we intend to use your personal details.

Photographs

Customers, staff and supporters kindly let us use photographs in our publicity and social media.

We will seek consent before we take your photograph and will always store them in a secure location and only use them if you have given your consent.

Services

We provide a range of services for disabled people including residential care, training and holiday accommodation.

We will collect data that is relevant to us delivering the service.  This information will only be used for the purposes of the service and not shared with the rest of the organisation unless you give us permission to do so.

We will normally keep data for three years in line with contracts and regulation although in some cases this may be up to six years and, in the case of anyone deemed a child when they enter our service, eighty years.

Complaints

If you wish to make a complaint about any of our services we will collect your name, contact details and details about the complaint so that we can respond, monitor and improve our organisation.

This data will be shared with anyone in the organisation, or any third parties who are involved in resolving the complaint.

We will hold this data for six years.

Website

When someone visits www.disabilityactionyorkshire.org.uk we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns.  We do this to find out information, such as the numbers of visitors to various parts of the site.

If we want to collect personally identifiable information through our website we will be transparent about this.  We will make it clear when we collect personal information and will explain what we want to do with it.  We will collect any questions, comments and feedback that you leave. This will include your email address if you send us an email and which web browser (and version) you use.  Information on how people use the site through page tagging and cookies, helps us improve our website and our services.  You can read our cookie policy here.

We might also obtain your personal data through your use of social media such as Facebook, Twitter or LinkedIn, depending on your settings or the privacy policies of these social media and messaging services.  To change your settings on these services, please refer to their privacy notices, which will tell you how to do this.

Suppression List

If you tell us you do not wish us to contact you in future we will hold your contact details on file.  This will make sure that we comply with your wishes.

Sharing your data

Unless we are required to share your data for legal or regulatory reasons or to help with a complaint, we will never share your data with other organisations.

We do use third party organisations to help us collect donations such as Just Giving, Stripe and others.  Where we use external companies to collect or process data on our behalf, we carry out comprehensive checks on these companies, and put in place contracts to control how they manage the data they collect or may have access to.

Keeping your data safe and up to date

We ensure that the most appropriate technical controls are in place to keep your data safely.  Access to your data is regularly reviewed and only accessible to the relevant staff and volunteers.

Where we use external companies to collect or process data on our behalf, we carry out comprehensive checks and put in place contracts to manage the data they may collect or have access to.

Your data will be hosted on servers located in the UK which will not be transferred out of the European Union.

Your Rights

We will only collect the data that we need to carry out the purposes you have contacted us for, or given us permission to use it for.

To enable us to carry out the purposes you have contacted us for there will be times when we will need to make some data collection mandatory e.g. your name and address to claim Gift Aid, or your email address to access our services.  If you don’t provide this data we will not be able to carry out the purposes you have contacted us for.

We will always tell you why these fields are mandatory.

Where you have provided consent to be contacted or to receive a service you are entitled to withdraw that consent at any time.

If you are at any time unhappy about the way in which we have handled your personal information you can make a complaint to the Information Commissioners Office.
